
CBM (UK) installed Visual Alms supplied by Westwood Forster in the year 2000. After eight successful years of operation, it was felt in 2008 that it was probably time to replace the system with a more modern database. Visual Alms was limited in some of its features, particularly the ability to perform complex segmentation of supporter records, based on recency, frequency and value. From a standpoint of best practice, CBM searched the market for a system that would provide more facilities, save costs and where CBM could successfully transfer across data with integrity. After looking at alternative options decided to proceed with Alms.net, the successor to Visual Alms.
CBM did not proceed with the change quickly or lightly. Very detailed investigations took place concerning the capabilities of a new database, whether it could perform the desired functions and operations to allow CBM to develop its fundraising operations and whether there would be a cost saving in changing systems.
The change was implemented in January 2010. As with all changes there were snags and niggles at the outset which both parties worked together to solve. One immediate benefit however was saving in staff time that CBM were able to make in the area of donation processing. Initial indications were in excess of 25%. In addition, improved facilities for electronic import of regular gifts have greatly reduced further inputting time.
Phase 1 of the changeover is complete; phases 2 & 3 to develop further complex data selection and financial reporting are still to take place.
Overall the change has been successful and welcome. We are still learning but are confident that this more modern system will meet our needs. One thing we learned was that off the shelf packages can have limitations and that a system tailored to exactly what we want is more advantageous when tailored with best practice in mind.
